Scope
End-to-end operational management for sourcing, procurement, delivery, and staging of a Park City condo to match the client’s New York primary residence aesthetic using value-conscious sourcing.
Critical Context
The project demanded the look and feel of high-end design (NYC primary residence) but required the execution using more durable, budget-friendly furnishings suitable for a part-time rental market. All final logistics and installation had to be remotely managed.
Project Summary: Remote Sourcing and Flawless Last-Mile Execution
The core creative goal was to translate the client’s minimalist, custom aesthetic to their mountain retreat using more accessible, readily available furnishings to fit the budget and the demands of a rental property. The operational complexity was not in sourcing rare goods, but in coordinating diverse, high-volume shipments from various vendors (e.g., mass-market, specialty, trade) into a single, remote location with no on-site design team present.
Our firm was tasked with ensuring that all items arrived, were inspected, and were ready for final staging without the designers ever touching the product.
The Core Challenge: The Remote Control Tower
The project required simultaneous management of Procurement-to-Value and Zero-Touch Logistics, where the final confirmation and staging were entirely dependent on a single third-party receiver chosen by the client.
Strategic Challenge: Quality Control & Volume Procurement
We needed to manage the procurement process across a high number of vendors selling durable, less expensive goods, ensuring consistency in order quality, color, and finish—a major challenge when working with a value-conscious supply chain.
Tactical Challenge: Remote Logistics & Handoff
All deliveries had to be coordinated to arrive at a single receiving facility in Utah, be inspected for damage, and then transferred to the client’s chosen local property manager for the final move-in and setup. Any errors in receiving, inspection, or the final handoff would require costly remote troubleshooting.
Mitigation Strategy: Decisive Phasing and Remote Triage
As Operations Director, I implemented a strategy focused on consolidated receiving and hyper-detailed remote coordination to mitigate the risks associated with the high volume of value-sourced goods and the remote installation.
Strategic Mitigation: Value-Driven Procurement & Tracking
- Go/No-Go Decision on Sourcing: We established firm criteria for durability and readily available inventory before placing orders, minimizing the risk of multi-month delays common in custom/high-end production.
- Consolidated Delivery Choreography: All items were tracked from purchase to delivery at the local receiving facility. I coordinated vendor lead times to ensure all furnishings were collected at the facility within a specific, narrow window, reducing storage fees and ensuring the final transfer was a single, coordinated effort.
- Hyper-Focused Logistics Protocol: Created a definitive list of all items that would be needed to tracked for future rentals.
Tactical Mitigation: Remote Triage and Damage Recovery
- Handoff Protocol & Contingency: I briefed the client’s on-site pickup person (property manager/receiver) on the exact protocol for checking items against the provided manifest. This immediately flagged a missing console table and two damaged lamps upon receipt.
- Vendor Accountability & Expedited Resolution: Upon notification of the errors, I immediately took over communication with the responsible vendors. For the damaged lamps, I executed the damage claim and sourced replacements simultaneously. For the missing console, I managed the carrier’s lost item trace process while concurrently placing an expedited re-order.
- Installation Support Choreography: I managed the communication between the final staging team and the receiving facility. By having a complete understanding of what was confirmed delivered and what was confirmed damaged/missing, I could advise the staging team to prioritize setup of existing pieces and isolate the final, missing items for a seamless secondary install.
Outcome and Key Lesson
The project delivered the client’s New York aesthetic on a challenging budget and within the required timeline for the start of the rental season. The remote nature of the project was flawlessly managed through disciplined operational protocols and rapid, remote triage when inevitable logistical issues arose.

For remote, budget-sensitive projects, operational excellence shifts from managing rare, high-end production delays to managing volume logistics and mitigating the risks inherent in high-turnover, value-conscious supply chains. Clear, detailed remote communication with third-party partners is the only way to safeguard the project’s success.
